Weather & Cancellation Policy
My Pony Party & Friends Inc.
At My Pony Party & Friends Inc. (MPP), the safety and welfare of our animals, staff, and guests is our top priority. Because we work with live animals in mobile and outdoor environments, weather conditions, air quality, and site safety play a critical role in our ability to operate. Weather and air quality conditions are monitored closely leading up to every event, and we will work through appropriate conditions whenever it is safe to do so.
All weather-related, air quality, and safety decisions are made at the sole discretion of My Pony Party & Friends Inc.
Client Cancellations
All booking deposits are non-refundable. No refunds or credits will be issued for client-initiated cancellations for any reason, including but not limited to weather concerns, air quality concerns, illness, venue issues, permit issues, or personal circumstances.
Weather and Air Quality Operating Restrictions
MPP does not operate under the following conditions:
Temperatures above 32°C
Temperatures below -15°C
Sustained winds over 30 km/h
Pouring rain
Blizzard or whiteout snowfall conditions
Thunderstorms, thunder, or lightning activity
Unsafe air quality due to wildfire smoke or elevated Air Quality Health Index (AQHI) levels
These restrictions exist strictly for animal welfare and safety. Final determination of operating conditions, including acceptable air quality levels, is at the sole discretion of MPP.
Weather Warnings and Client Decision
If MPP believes weather or air quality conditions may become unsafe or inappropriate, advance notice will be provided to the client when possible.
If a client chooses to proceed with the event after receiving a weather or air quality warning, MPP will attend the event as scheduled. If conditions upon arrival are outside operating limits, the event will not proceed and all monies paid will be forfeited.
Client-Initiated Weather Cancellation and Same-Day Reinstatement
If a client chooses to cancel or postpone their event for the day due to weather or air quality concerns after receiving a warning and later decides they wish to proceed on the same day, MPP may reinstate the booking only if availability allows.
If MPP is available and agrees to reinstate the event on the same day, a non-refundable reinstatement fee of $250 will apply. This fee is in addition to the full cost of the party, which remains payable in full.
Outstanding Balances
All outstanding balances must be paid in full prior to the event. No event will proceed with an unpaid balance.
Substitutions, Modifications, and Alternatives
If weather or air quality prevents an outdoor event from proceeding and availability allows, MPP may offer one or more of the following alternatives:
Rescheduling the event
Applying the deposit as a credit toward a future booking
Conversion to a Bunny, Pocket Pal or Reptile party (indoor only)
A modified animal experience suitable for indoor conditions
All substitutions and alternatives are subject to availability and are not guaranteed.
For the purposes of this policy, “indoors” is defined as a private residence, garage, or shop. Party tents may be considered indoor only at the sole discretion of MPP based on weather, wind, and air quality conditions.
MPP-Initiated Cancellations
A refund or reschedule option will only be offered if MPP must cancel due to:
Animal health or welfare concerns
Staff or animal safety concern
Unforeseen emergencies on the part of MPP
In the rare event that MPP cancels, clients will be offered either a full refund or the option to reschedule, subject to availability.
Parking Requirements
A minimum of 30 feet of accessible parking space is required to accommodate MPP’s truck and trailer. Parking must be as close to the event location as possible.
If suitable parking is not immediately available upon arrival, time spent locating parking will be deducted from the scheduled event time. If appropriate parking cannot be located within a reasonable timeframe, MPP reserves the right to leave the location, and no refunds will be issued.
Permits and Municipal Property
If animals are booked for use on municipal or public property, including city parks, the client is solely responsible for obtaining all required permits.
MPP does not obtain permits of any kind. If required permits are not obtained and MPP is removed from the site, all monies paid will be forfeited.
Certificate of Insurance (COI)
A $25 administration fee applies to all Certificate of Insurance requests. While MPP will attempt to accommodate specific wording requests, certain clauses may not be approved by our insurer. Inclusion of specific language is not guaranteed.
Clients must not base their booking solely on COI requirements. Any specific COI wording requirements must be discussed and confirmed prior to submitting a deposit.
Animal Handling, Safety, and Conduct
As we work with live animals, delays may occur. We will make reasonable efforts to communicate any delays and ask clients to remain understanding.
Only hand soap and water may be used during animal events. Hand sanitizer is strictly prohibited, as it is extremely toxic to animals. If hand sanitizer is observed being used, the event will be cancelled immediately with no refund. Reptiles excluded from these T&C.
MPP reserves the right to determine which animals attend any event. Specific animals or species are not guaranteed and are selected based on health, suitability, and safety.
Equine helmets provided by MPP must be worn at all times while mounted. Failure to comply will result in immediate termination of the ride and/or event.
All riders may be requested to sign a waiver prior to mounting any equine. Failure to do so will result in immediate termination of participation. This is left to MPP equine staffs discretion.
Closed-toe footwear is strongly recommended for all equine and petting zoo events.
Feeding animals is optional and done at the participant’s own risk. There is a risk of biting, and MPP assumes no liability related to feeding.
Petting zoo rules will be posted. If rules are broken, the zoo may be cancelled immediately without warning. Animal abuse will be reported to authorities.
Site Requirements and Waste
A grassy area must be provided for large events. If one cannot be provided, bedding and cleanup may be supplied at a surcharge of $200 per single pen size, $400 for double and so forth.
Event hosts are responsible for waste disposal. MPP does not remove waste.
Water must be provided at all events. This is non negotiable.
Liability, Waivers, and Policy Changes
MPP is not liable for injury or property damage during events.
MPP’s waiver is the only authorized waiver for use at events.
MPP reserves the right to revise these terms at any time. It is the client’s responsibility to review current terms prior to booking and inform participants.
Agreement, Final Acknowledgement and No-Ignorance Clause
By completing a booking with My Pony Party & Friends Inc., the client confirms that they have been presented with, have had access to, and have agreed to all terms and conditions, including the Weather & Cancellation Policy, at the time of booking.
The client acknowledges that acceptance of these terms is a mandatory condition of booking and that failure to read or understand the terms does not relieve the client of their obligations under this agreement. Claims of ignorance, misunderstanding, or lack of awareness of these policies shall not be considered valid grounds for dispute, refund, or cancellation.
Electronic Communications
When you use our Site, or send e-mails, and other electronic communications from your desktop or mobile device to us, you are communicating with us electronically. By sending, you consent to receive reply communications from us electronically in the same format and you can retain copies of these communications for your records. You agree that all agreements, notices, disclosures, and other communications that we provide to you electronically satisfy any legal requirement that such communications be in writing.
